The Opportunity

Strum is currently looking to expand our Admin team and has an opening in our Halifax office for a Project Administrative Assistant to join our team.

Who You Are

Required Qualifications

  • Completion of a one- or two-year diploma program in office administration or a minimum of two years previous administrative experience is required.
  • Excellent skills in Microsoft Word, Excel, PowerPoint, and PDF-X Change Editor.
  • High attention to detail when reviewing and formatting documents.
  • Ability to solve problems.
  • Ability to manage time effectively.
  • Possess professional demeanour and communicate with excellent written and oral communication skills.
  • Possess strong organizational skills.
  • Flexible and works well in a deadline-driven, fast-paced environment.

Eligibility Criteria

  • This is an in-person position at our Halifax office.

What You’ll Do

As a Project Administrative Assistant, you will provide project support to the team in the areas of word processing, project report review and compilation, report administration, back-up front desk support, and safe keeping of files and their appropriate distribution. This position will require close collaboration with other administrative staff, technicians, technologists, engineers, surveyors, and scientists.

Document & Reporting Assistance

  • Maintain a sound working knowledge of policies, procedures, issues, and projects, and research and compile information to effectively provide support to the team.
  • Review and format correspondence in Microsoft Word and Excel with minimal direction, prepare tables and reports, and ensure all necessary materials are coherent and distribute finalized PDF documents and hard copy documents to appropriate parties.
  • Attend and participate in weekly internal team meetings and coordinate with team members to ensure efficient and timely delivery of projects within the schedule.
  • Carry out project related duties by collecting data, sorting, filing, and sending out project files.
  • Support existing teams while demonstrating ability to work independently and as part of a larger close-knit team.
  • Perform other assigned tasks as determined by overall workload.
  • Adhere to Strum’s health and safety program and ensure safety procedures and protocols are followed.

Front Desk & Admin Support
As back-up for the front desk, your responsibilities would be:

  • Welcome guests and clients in a professional, courteous manner, and direct them to the appropriate person or department.
  • Manage a multi-line phone system. Screen calls and transfer them appropriately.
  • Handle incoming and outgoing mail, courier deliveries, and packages.
  • Provide general administrative support including filing, document preparation, and office coordination as needed.
  • Maintain database of key experts and partners to fulfill bid requirements.
